Job Description

Job Title: Human Resources Assistant
Supervision Received: Director of Human Resources
Supervision Exercised: As Directed
Status: Exempt
Date: 4/1/08


Job Purpose:

Assist and team with the HR Director in a variety of HR programs including recruitment, benefits, wellness, and recognition. Act as back-up to provide accurate and timely processing of semi-monthly payroll and associated reports.


Minimum Job Requirements:

  • Excellent interpersonal and communication (verbal and written) skills.
  • Attention to detail and accuracy.
  • Excellent organizational skills and ability to prioritize multiple tasks.
  • Ability to relate to employees at different levels within the D.C. and company.
  • Bachelors Degree in Human Resources preferred; alternatively, four years of Human Resources experience.


Characteristic Duties and Responsibilities Essential Functions:
  • Provide administrative support to the Human Resources Director.
  • Conduct benefit enrollment and maintain files; assist with benefit education.
  • Assist with annual insurance open enrollment.
  • Provide assistance with implementation of wellness program.
  • Review monthly Group Insurance Statements for accuracy.
  • Send COBRA notification to terminated employees and track time limit for responses.
  • Place recruitment ads for all locations.
  • Order MVR’s for potential new drivers.
  • Check references on potential new employees.
  • Prepare new-hire packets and new employee folders.
  • Assists with processing new hires and terminations.
  • Track employees’ time off and prepare quarterly notification of time off remaining to General Managers.
  • File current and terminated employees’ paperwork and update folders as necessary.
  • Maintain employee database.
  • Prepare and mail monthly commission statements to Account Representatives.
  • Assist in administration of 401(k) program.
  • File unemployment protests and participate in appeal hearings.
  • Process Workers’ Compensation paperwork and file claims.
  • Maintain Workers’ Compensation salary spreadsheet for annual W/C payroll audit.
  • Administer LPI substance abuse testing program, as well as D.O.T. drug testing and driver certification.
  • Prepare annual OSHA 300 report.
  • Administer required OSHA forklift operator certification program.
  • Prepare annual EEO-1 report.
  • Assist Director of Human Resources in preparing annual budget, as well as prepare year-end accruals for attendance bonus, vacation, overtime, and hourly employees.
  • Provide assistance to management and employees with reports and required paperwork as needed.
  • Back-up Payroll Administrator in accurately processing and delivering semi-monthly payroll.
  • Back-up Payroll Administrator in preparing month-end payroll journal entries and management reports, e.g., overtime report, commission analysis, discontinued item analysis, etc.
  • Back-up Payroll Administrator in reconciling payroll checking account.


Job Specifications

Knowledge, Skills, and Abilities:
  • Ability to analyze and solve problems.
  • Ability to understand and interpret vendor invoices, statements, and other requests for payment.
  • Intermediate spreadsheet and word processing skills.
  • Ability to process computer data and to format and generate reports.
  • Knowledge of various areas of Human Resources.
  • Some knowledge of general payroll and accounting principles.
  • Strong communication and interpersonal skills.


Working Conditions:
  • Work is normally performed in a typical interior/office work environment.
  • No or very limited physical effort required.
  • Work involves near continuous use of computer terminal.
  • No or very limited exposure to physical risk.
